Privacy Policy



The Australian National University has implemented the Digitary System (henceforth referred to as "Digitary" or "the system") for the issuing, storage, management, distribution and authentication online of official documents. The Australian National University fully respects your right to privacy, and will not collect any personal information about you through Digitary without your permission.

Collection and use of personal information

The Australian National University does not collect any personal data about you through the system, apart from information which you volunteer. Any information which you provide through the system is not made available to any third parties, and is used by the system only in line with the purpose for which you provided it.

The system does not use cookies, apart from temporary "session" cookies which enable a visitor’s web browser to remember which pages on the system have already been visited. Visitors can use the system with no loss of functionality if cookies are disabled from the web browser. You may choose to refuse cookies by disabling them using your web browser. Technical details in connection with visits to the system are logged using three methods for security purposes; Web-server logs, Application logs and Digitary Account History. The technical details logged the web-server and application logs contain the following items:

  • the IP address of the visitor
  • the domain name used (for example myhost.ie, myhost.com, myhost.org, myhost.net)
  • the previous website address from which the visitor reached us, including any search terms used
  • identifying and contact information, such as the Relying Party’s Company name, the Relying Party’s authorised representative and email address
  • the type of web browser used by the website visitor.

Application logs also are used to record information about the Digitary applications while they are in use. These logs may be used by authorised personnel at The Australian National University and / or Digitary Support in order to diagnose any technical issues that occur within the system.

Account History information is available to all users of the application as follows:

  • Document Holders (e.g. students or graduates) and Document Verifiers (e.g. recruiters): A user of either system is entitled to see account history information related their unique UserID (Document Verifiers need to be registered and logged in to do so). This may involve events related to specific interactions with other users (for example, Document Holders can see when their documents were issued, shared and authenticated. They will also be able to see the Company name, the Company authorised representative’s name and contact email address of Document Verifiers. Document Verifiers can see when they authenticated documents).
  • Document Signer: A user of this system has access to all account events, including (but not limited to) user authentication, user account creation, document signing, document sharing, and document verification.

In rare cases, The Australian National University may revoke a document issued to a Document Holder after it has been successfully verified by one or more Document Verifier(s). In such a case, The Australian National University may, but is not obliged to, use the information gathered by the application to identify and notify these Document Verifier(s) of the change in status of the verified document. The Australian National University may use the information gathered from the Document Verifier for such a purpose.

Except as set out above, The Australian National University will make no attempt to identify individual visitors, or to associate the technical details listed above with any individual. It is the policy of The Australian National University never to disclose such technical information in respect of any individual user of the system to any third party unless obliged to disclose such information by a rule of law, or if requested to do so by that individual. The technical information will be used only by The Australian National University and Digitary Support for support, maintenance and other administrative purposes.

Use of information

Document Verifiers must only use the information on the System for the purpose for which access was provided.

Glossary of technical terms used

web browser - The piece of software you use to read web pages. Examples are Microsoft Internet Explorer, Mozilla Firefox and Opera.

IP address - The identifying details for your computer (or your internet provider's computer), expressed in "internet protocol" code (for example 192.168.72.34). Every computer connected to the web has a unique IP address, although the address may not be the same every time a connection is made.

cookies - Small pieces of information, stored in simple text files, placed on your computer by a web site. Cookies can be read by the web site on your subsequent visits. The information stored in a cookie may relate to your browsing habits on the web page, or a unique identification number so that the web site can "remember" you on your return visit. Generally speaking, cookies do not contain personal information from which you can be identified, unless you have furnished such information to the web site.
